Warehouse Administrator
The role: As Warehouse Administrator, you will perform various activities to support a company’s general warehousing administration function. Reporting to the Warehouse manager, you will work with the team to ensure the accuracy of captured data and use this data to issue invoices and credits using both manual and automated billing systems. Your duties will also include but not be limited to updating customer records, sending out monthly billing statements, maintenance of agency time sheets, preparation of documents, placing consumable orders and tracking expenses. This is a customer facing role as you will need to be extremely comfortable handling incoming and outgoing calls. You must be a self-motivated computer literate individual who like numbers and has an eye for detail. To excel in this role, you must be able to work independently as well as embracing the larger team.
Due to the monthly billing nature of the business, additional inventory control duties will be incorporated within the role. Working with the management team, you will scrutinise customers stock holdings, initiate stock checks and carry out discrepancy investigations.
Skills and Qualifications: As Warehouse Administrator, you should be self-motivated and diligent with strong organization skills. We are seeking an individual with a good level of education and at least two years of clerical office or customer service experience.

– Administrative skills – general administrative and clerical work with a sound working knowledge of MS office applications.
– Organisation skills – must be excellent multitaskers who i.e. able to prioritise and execute assignments in a quick and efficient manner.
– Communication skills –communicate with clients, external drivers, and on-site staff to ensure all orders are processed on time, in full. It is essential to possess good written and verbal communication skills.
– Customer service – the position holder will need the ability to interface with customers in a clear and pleasant way.
– Data entry – keyboard skills to facilitate data entry to the computerised management systems.
– Accounting – working with numbers on a frequent basis.
– Invoice generation – generating purchase orders, invoices, and other financial documents.
– Maths skills –accurate math calculations are essential.
Duties and Responsibilities
– Customer Communication – Communicate with customers regarding order status, delays, or any issues that may arise.
– Orders – Receive incoming orders via phone, email, or online platforms. Input order details accurately into the system or database. Verify order accuracy, including item codes, quantities, pricing, and shipping information. Monitor the status of orders from processing through shipment to ensuring timely delivery. Account management for specific customers.
– Inventory Management – Ensure adequate stock levels to fulfil orders, monitor inventory levels, and coordinate with the warehouse. Address any issues or concerns related to stock promptly and effectively.
– Reporting – Generate reports on order processing metrics, such as order volume, fulfilment rates, and customer satisfaction.
– Billing and Invoicing – Generate invoices for orders, verify payment information, and reconcile discrepancies. Maintain accurate records of orders, invoices, and other relevant documentation.
Desirable Attributes:
Previous knowledge of warehousing and or Customer Service Skills.
Accounting, Bookkeeping or Business Administration qualification.
